Summary The Women's Resource Center is looking for a motivated, organized and skillful person to fill in the position of Administrative Assistant 3. The Women’s Resource Center is a place of advocacy, support, and safety for all members of the University of New Mexico and greater community who feel passionate about enhancing success within academic, personal, and professional aspects of students’ lives. The individual in this role will perform and/or oversee a variety of associated administrative, fiscal, staff support, and planning activities, some of which require advanced or specialized knowledge and skills, such as budget administration and control, equipment, facilities, and inventory management, specialized recordkeeping and database management, and/or specified information-gathering projects and tasks. They will also coordinate and facilitate meetings, program functions, and/or center special events, as appropriate with the Women's Resource Center guidelines. Training and overseeing the center's Office Assistants will also be included. You will be the direct point of contact of the Women's Resource Center for all the UNM and further community, which will require excellent customer service skills and patience relaying the same information repetitively. Duties and Responsibilities -Oversees and/or performs a range of diverse administrative activities for the department or organizational unit; serves as a central point of liaison with other departments and external constituencies in the resolution of a variety of day-to-day matters such as student navigational services, informational description on the services we offer, awareness of outside community resources, as well as basic front desk duties such as answering and forwarding emails to appropriate staff, answering telephone calls, providing information, printing, copying and organizing materials -Oversees our Office Assistants who provide support activities for the center such as answering telephones, assisting and resolving problems and inquiries of visitors, review and control of incoming and outgoing correspondence, and follow-up on students/community inquiries, printing, copying, and organizational materials -Utilizes knowledge and understanding of underlying operational issues to create, compose, and edit technical and/or administrative correspondence and confidential documentation/information given. -Assists in administrative problem solving, project planning, development, and execution of the Women's Resource Center goals, objectives and already implemented shared values -Monitors, reconciles, and assists with financial/fiscal administration for the unit; including but not limited to budgets, funding, grants, contracts, payroll, employment, travel, and purchasing -Schedules appointments and maintains the Women email and calendar; schedules, coordinates and facilitates staff meetings, facilities usage, center events, program events (as needed), tabling schedules, student staff schedules and other WRC events and programming -Coordinate, participate and organize the following hiring processes: internal job descriptions, hiring requisitions, interview committee selection, interview scheduling and coordination, outreach and communication between the applicant and the center, assistance in submission of references and final onboarding materials -Assist with educating, supporting, and providing a safe space for women on campus through cultural and educational programming. Assist with providing peer education, mentoring, and professional opportunities to enhance students' persistence toward degree completion -Performs miscellaneous job-related duties that align with our purpose to plan special events that enhance, support, and empower women and all on campus and in the local community
