Position Summary

The Office of the University Secretary (OUS) is headed by the Secretary of the University who reports directly to the Provost. OUS is a main source of continuity in UNM faculty governance. The Faculty Senate, the Senate Operations Committee, the Committee on Governance, and the Academic Freedom and Tenure Committee rely on the information and advice from the University Secretary. The office is responsible for providing high level support to maintain and update the UNM Faculty Handbook. The office also provides administrative support to the 26 standing faculty committees and various ad hoc committees.  OUS is also responsible for university academic ceremonial events including Commencement, the campus-wide graduation ceremony for all students held in the Spring and Fall of each year; First-Year Convocation held in August at the beginning of the Fall semester; and other ceremonies such as University President inaugurations/installations.

OUS is seeking a motivated, detail-oriented individual to join our team. Reporting directly to the University Secretary, the successful candidate will oversee and manage the daily overall operations and administrative tasks of the Office of the Secretary; will act as a primary administrative contact; will assist with budget preparation and fiscal management activities; will oversee and direct Faculty Governance support; will lead and direct office staff and have primary responsibility for human resource functions for the office; will perform research, analysis, data assistance and support to the University and the University Secretary; will coordinate university level faculty governance elections and the administration of administrator evaluations; will participate in the planning and execution of university academic ceremonies, and will manage significant projects for the office.

  • Employees who provide services or work in patient care or clinical areas are required to be in compliance with the University's influenza vaccination requirement.
Minimum Qualifications

High school diploma or GED; at least 7 years of experience related to the duties and responsibilities specified, of which at least 2 should be directly related to managing at least one of the functional areas of fiscal services, administration and/or human resources.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Preferred Qualifications

PREFERRED QUALIFICATIONS:

·         Bachelor’s degree.

·         Knowledge of university policy and procedures, including administrative, faculty, and staff policies.

·         Experience working with a diverse community of faculty, students, administrators, and the public in a higher education setting.

·         Experience with staff supervision and human resource administration.

·         Experience with fiscal management and budget preparation.

·         Proficiency in managing complex administrative tasks in a deadline intensive environment.

·         Experience with large public event coordination and execution.

·         Experience in planning, developing, and coordinating multiple projects. Demonstrated skills in organizing resources and establishing priorities.

·         Advanced computer skills and proficiency with word processing, database, spreadsheet, presentation, publication, and calendaring software. Familiarity with university enterprise resource systems, including student, fiscal management, and human resource management.

·         Ability to make administrative and procedural decisions and judgements on sensitive, confidential issues. Ability to use independent judgement and to manage and impart confidential information.

·         Exceptional interpersonal communication skills, both verbal and written, as demonstrated in a cover letter.
