The University of New Mexico Health Sciences Center’s Department of Cell Biology & Physiology is seeking a capable, self-motivated individual with excellent computer and communication skills to support the department and department leadership.

The successful candidate will be able to act independently and balance multiple ongoing priorities. The individual must be detail-oriented, an experienced multitasker with a wide knowledge of office software, exceptionally well organized and a good communicator.  Excellent oral and written communication skills must be demonstrated through application materials and interview.

The Administrative Assistant 3 will provide administrative support for the Department Chair, Department Administrator, Department Accountant, as well as for faculty, staff, postdocs and students. This individual will hold a PCard. Duties include, but are not limited to, processing financial transactions, reconciling purchases in Chrome River, creating/editing quarterly department newsletter, assist with inventory, scheduling appointments/meetings, coordinating seminars/special events including arranging travel and preparing itineraries, maintaining office supply inventory, filing, answering phones, sorting/screening mail, errands and miscellaneous office duties.

The position is on campus, Monday – Friday, 8am to 5pm, with no scheduled weekends except for rare obligations to meet deadlines or coordinate special events.

Conditions of Employment
  • If this position is assigned to the Athletics Department, either administratively or functionally, compliance with all NCAA rules and regulations is required.

  • All regular, non-temporary positions assigned to this classification are represented by a labor union and subject to the terms and conditions of the US-UNM Collective Bargaining Agreement.
Minimum Qualifications

High school diploma or GED; at least 5 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Preferred Qualifications

Preferred qualifications:

            Experience with Banner Financial system

            Knowledge of basic accounting; tracking and reconciling accounts

            Knowledge/experience with Chrome River and UNM reimbursement process

            Experience with PCard management and use

            Knowledge of FAMIS space management and inventory tracking

            Ability to understand and apply University policies and procedures

            Prior administrative/financial experience at UNM

            Proficiency with Microsoft Suite, Smartsheets, Banner, PCard and video conferencing platforms

            Experience scheduling and organizing logistics for meetings, guest speakers, and seminars

            Proficiency at composing and proofreading correspondence

            Experience with electronic calendaring and scheduling meetings

            Experience making travel arrangements

            Experience in an academic research setting
