Position Summary

Position Overview:

The Student Nook Administrative Assistant will be responsible for the daily management and upkeep of the Student Nook, a resource center for medical students that provides complimentary coffee, tea, and healthy snacks donated by the School of Medicine Alumni Association. This position will also assist in general administrative support duties for the Advancement & Alumni Relations team, serving as a critical point of contact for visitors and staff.

Key Responsibilities:

Student Nook Management:

  • Ensure the Student Nook is well-stocked with coffee, tea, and healthy snacks on a daily basis.
  • Oversee inventory, including placing orders for stock and coordinating shopping trips to replenish supplies as needed• Maintain cleanliness and organization of the space to provide a welcoming atmosphere for students.
  • Coordinate with the Alumni Association for donations and updates regarding the Nook’s supplies.

Administrative Support:

  • Assist the current Administrative Assistant III in providing general office support to the Advancement & Alumni Relations team.
  • Serve as front desk reception, greeting visitors and directing them to the appropriate staff members.
  • Answer and respond to phone calls, emails, and walk-in inquiries from students, alumni, and other visitors.
  • Resolve routine administrative problems and assist with day-to-day office functions.
  • Draft, edit, proofread, and format correspondence, reports, and other administrative documents as needed.

Collaboration & Communication:

  • Liaise with alumni, students, and staff to ensure smooth communication and address inquiries related to the Student Nook and alumni resources.
  • Assist in organizing events or activities that promote alumni engagement with students.

Conditions of Employment
  • If this position is assigned to the Athletics Department, either administratively or functionally, compliance with all NCAA rules and regulations is required.
  • All regular, non-temporary positions assigned to this classification are represented by a labor union and subject to the terms and conditions of the US-UNM Collective Bargaining Agreement.
Minimum Qualifications

High school diploma or GED; at least 3 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.
