The University of New Mexico (UNM) VP Office for Institutional Support Services (ISS) is seeking a highly organized and professional Executive Assistant to support the Vice President and executive leadership team. This role is responsible for independently managing and overseeing the administrative functions of the VP Office, acting as the primary point of contact for both internal and external constituencies, and ensuring seamless coordination of executive operations. The Executive Assistant will handle confidential matters with discretion, manage scheduling and prioritization, and coordinate strategic communications on behalf of the VP office.
ISS is a vital division within UNM, housing a diverse range of business, facilities, and real estate professionals. With 17 service-oriented departments, ISS provides essential services to enhance the university environment, ensuring a seamless experience for students, faculty, staff, and visitors.
Duties and Responsibilities:
Serve as the primary contact for university and community stakeholders on matters directed to the VP Office and responsible for directing and coordinating the matters to or with appropriate contact(s).
Manage the schedules of the executive leadership team, prioritizing appointments, travel, and correspondence to ensure efficiency.
Receive, screen, evaluate, and respond to correspondence; draft written responses and prepare reports as necessary.
Plan and coordinate meetings, special events, and engagements for the executive leadership team.
Working with executive leadership provides support in coordinating individual concerns or issues involving faculty, staff, students, and external stakeholders.
Conduct research, compile reports, and analyze information affecting University-wide operations.
Ensure smooth office operations by managing administrative support staff and overseeing office policies and procedures.
Assist in budget preparation and review, including transaction approvals and financial reporting.
Maintain records, track key deadlines, and oversee compliance with University policies and procedures.
Provide assistance with faculty/staff recruitment, hiring processes, and other HR-related matters.
Facilitates and coordinates contract administration, procurement processes, and executive-level projects as needed.

High school diploma or GED; at least 2 years of experience managing at least one of the following functional areas: fiscal services, administration and/or human resources AND 3 years of additional experience directly related to the duties and responsibilities specified.
Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.
Preferred Qualifications:
Experience in executive-level administrative support in a higher education setting.
Bachelor's degree in business administration, Public Administration, or a related field.
Strong experience in event planning, including high-level university engagements.
Familiarity with university governance structures and strategic planning initiatives.
