The UNM School of Medicine’s Department of Undergraduate Medical Education is seeking an Academics Coordinator for dual appointment position in the Program Evaluation, Education and Research (PEAR) unit (0.8 FTE), and the Academic Media Services (AMS) unit (0.2 FTE). The PEAR team is responsible for evaluating the medical school curriculum, tracking students’ academic performance, and tracking the practice location of graduates working as physicians in New Mexico. The AMS team supports the integration of technology in medical courses, tracks course objectives, and addresses the technology needs of UME faculty, staff, and students. Responsibilities for this position include: PEAR responsibilities: 1. Managing and administering evaluations to medical students about their experiences in the medical school curriculum. The person in this position will primarily administer evaluations for courses in the first two years (i.e., preclinical curriculum) of medical school. 2. Assisting in managing the Continuous Quality Improvement (CQI) process in which student volunteers (5-6 per course) meet with a course director to provide feedback and facilitate communication during each course in the preclinical curriculum. 3. Assisting in collecting information for the annual Location Report on School of Medicine graduates practicing medicine in New Mexico. This report tracks graduates (of the Medical Doctor (MD) program and/or a residency or fellowship program), who practice medicine in New Mexico. The purpose of this report is to provide stakeholders, including state legislators, with data on the numbers and percentages of graduates (MD or DO) practicing in the state. This report helps track how many graduates serve institutional missions of providing outstanding medical care and advocating for the healthcare of all New Mexicans. 4. Holding a purchasing card and processing unit purchases and travel reimbursements. 5. Serving as the unit’s primary point of contact with external units and/or departments for day-to-day administrative issues. 6. Providing administrative support for focus groups and/or other special projects associated with faculty and/or student research. AMS Responsibilities: 1. Assisting in collecting information for the MD Program curricular objectives mapping and entry. The person in this position will work closely with the Data Manager in AMS, and our teaching faculty, to ensure that all curricular objectives information is vetted and entered into our Curriculum Management System. 2. Holding a purchasing card and processing unit purchases and travel reimbursements. The person selected for this position will: · Attend meetings for the planning of courses; explain standard evaluation practices (e.g., end-of-course evaluations and CQI process) to course directors and follow-up on any questions and/or concerns. · Correspond with faculty regarding the content, administration, and reporting of end-of-course evaluations. · Create and administer end-of-course evaluations, tracking response rates, sending reminders, and extending due dates as necessary. · Run reports, review their content, and distribute reports to course directors, administrators, and other stakeholders. · Assist in the facilitation the CQI processes for individual courses by conducting trainings (one per course) on expectations and deliverables, reviewing students’ draft reports, and distributing the final report to the course director(s) and administrators. · Assist in researching graduates, who practice medicine in New Mexico; manage lists, using Microsoft Excel and/or Access to track progress. · Assist in administering and reporting research surveys evaluations. · Process reimbursements and purchasing office orders via purchasing card (PCard) as requested by unit staff and approved by the PEAR or AMS director respectively. · Answer and/or forward inquiries to the main phone line and email address. · Schedule and manage meetings with staff, medical students, and/or faculty as necessary. · Maintain confidentiality of records and information. · Complete miscellaneous duties as assigned.
