Position Summary

The Scheduling Office has an opening for a detail-oriented individual responsible for scheduling at the University's Main and North Campus. This role requires efficient planning, strong organizational skills, the ability to adapt to change, a proactive work ethic, and excellent problem-solving abilities. The successful candidate will also serve as an important point of contact, maintaining positive relationships.


Responsibilities include:

  • Work on all phases to create the academic course schedule for each academic term, including section data entry.
  • Work with academic departments to create a conflict-free and accurate schedule to balance efficiencies that meet department and student needs according to University policies.
  • Provide support and training for the semester schedule build application to enhance the accuracy of the details listed in the schedule of classes and serve as a primary line of communication during schedule build periods.
  • Carefully review course information in concurrence with the University course catalog.
  • Respond to a high volume of scheduling-related emails and serve as a scheduling resource for academic units.
  • Create, approve, and modify reservations in Ad Astra and continually improve utilization by efficiently scheduling in centrally scheduled instructional space.
  • Enforce adherence to the academic calendar, building hours, and University policies.
  • Work collaboratively with various departments to secure or negotiate space needs for events open to the public.
  • Learn and maintain knowledge of general registration processes and the ability to explain the interdependencies with the schedule of classes.

Conditions of Employment
Minimum Qualifications

High school diploma or GED; at least 7 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Preferred Qualifications

Professional Competencies:

  • Excellent customer service, verbal/written communication skills; organization and conflict resolution abilities a necessity.
  • Intermediate knowledge of MS Office suite, intermediate experience with databases. High comfort level in learning new software.
  • Lead work responsibility or coordination of office procedures.
  • Ability to work successfully both independently with professional discretion and in a collaborative team environment.
