Working Title Administrative Assistant to the OB-GYN Department Chair

Position Summary

The Department of Obstetrics and Gynecology at the University of New Mexico School of Medicine is seeking a highly motivated and organized Administrative Assistant to support the Chair of the department. This pivotal role provides high-level administrative support, coordination, and communication in a dynamic academic medical environment. The successful candidate will be proactive, detail-oriented, and comfortable managing complex calendars, confidential information, and multiple priorities.

Key Responsibilities:

  • Provide direct administrative support to the Department Chair, including calendar management, meeting coordination, and travel arrangements.
  • Draft and prepare correspondence, reports, presentations, and other documents.
  • Coordinate departmental events, faculty meetings, and leadership team activities.
  • Serve as a liaison between the Chair and internal/external stakeholders.
  • Maintain confidentiality and discretion in handling sensitive matters.
  • Track and follow up on key projects and deadlines.
  • Ensure smooth day-to-day operations for the Chair and other support staff.



    Working hours are Monday-Friday 8am-5pm. Occasional early morning or evening hours are required.

Conditions of Employment
Minimum Qualifications

High school diploma or GED; at least 5 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

Preferred Qualifications

Preferred Qualifications:

  • Experience working in an academic healthcare or university setting.
  • Experience supporting executive-level leadership.
  • Strong project management skills and comfort with tools such as Zoom, Teams, Outlook and the Microsoft Suite.
  • Ability to anticipate needs, problem-solve independently, and demonstrate initiative.
