Working Title Administrative Coordinator for the Associate Deans
Position Grade 10
Position Summary

The University of New Mexico, College of Nursing (CON) invites application for an Administrative Coordinator to support the Associate Dean of Academic Affairs, Associate Dean of Research and Scholarship, and Associate Dean of Community and Clinical Affairs. We are seeking a dynamic, customer service-oriented individual who is able to manage and adapt to a changing and fast-paced environment. This position coordinates, oversees, and/or performs support activities on behalf of the Associate Dean’s. Serves as primary point of administrative contact for internal and external constituents, often on complex and confidential issues. Oversees and/or participates in the coordination and completion of special projects. Maintains a professional demeanor at all times with internal and external constituents is paramount. Will serve on a variety of committees as the minute taker and/or moderator of online and in-person meetings.

Major Responsibilities Include:

  • Proactively review and triage Associate Deans’ outlook calendars 
  • Organize and coordinate meetings and/or special events on behalf of the Associate Deans along with preparation of speaking points.  As a representative of the Office of the Associate Deans this individual must have to ability to prioritize and triage matters of importance
  • Coordinate and manage conferences/meetings on behalf of the Associate Deans to include budget planning and use of funds, logistics, agendas, and/or travel for external and internal constituents.
  • Monitor, reconcile and assist with fiscal administration including travel, purchasing and leave reporting.
  • Compose and proof-read correspondence

College of Nursing

Minimum Qualifications

High school diploma or GED; at least 5 years of experience directly related to the duties and responsibilities specified.

Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.

  • Proficient at taking minutes for various meetings
  • Strong communication skills written and verbal as evident in your cover letter
  • Proficient in Microsoft Office Suite
  • Assist in fostering collaborative partnerships
  • Strong organizational and time management skills
  • Prior experience providing support to executive level leadership
